Every one of these needs three things before it can be answered: a price, a date check against your lead time, and a rule about allergens or minimum quantity. The gelato shop we spoke to has the owner and one colleague answering 20 to 30 of these a week over email and WhatsApp, on top of marketing and the online shop. They told us that when nobody replies in time the sale is lost, and that the two of them spent last Christmas and Chinese New Year on last-minute messages. The home bakery told us most orders already come from repeat customers on WhatsApp, and that its web shop could not do the two things the owner wanted, a pick-and-mix box and a delivery date the customer picks.

- It sorts the enquiry by size and date first. A single cake, a box of 12, 200 party cups and a wedding of 300 guests each follow a different path. The agent asks the quantity and the date before anything else, the way your enquiry form does, and recommends the format that fits. - It checks lead time, delivery and dietary rules. You give us the rules once. In the demo they are 5 to 10 working days for an event order, 1 to 2 months for a wedding of 100 guests or more, next-day delivery for retail orders placed before 4pm, free delivery over $80, and a $70 surcharge for Sentosa or the CBD. Dairy-free and nut questions are answered by product, from your own descriptions.
- It takes the brief and tells your team. Name, contact, event type, date, start and end time, venue and guest count, the same fields as your enquiry form, captured in the chat and sent to your events person. An event order is never confirmed in the chat. Your team confirms the date and sends the payment link. If the customer goes quiet after the quote, the agent follows up.
- Retail orders close in the chat. A pint, a cake on the menu or a gift set gets a price, a photo and a payment link in one turn. On Pro the order is written into your system and the stock is updated, so you wake up to the order and the money, with nothing to type in.

Can an AI agent take custom cake orders over WhatsApp?
Yes. For a cake on your menu it quotes the price, asks the date and the message on the cake, and sends a payment link in the chat. For a custom design it collects the brief, size, flavour, date, reference photo and delivery address, and hands it to you to price and confirm. It never invents a price for something you have not priced. You decide which cakes it can close on its own.
How does it handle minimum quantities and lead time?
You give us the rules once and it applies them before it quotes. In our gelato demo the rules are 5 to 10 working days for an event order and 1 to 2 months for a wedding of 100 guests or more. If the date asked is too close, the agent says so and offers the next date that works, or passes the enquiry to you. Minimum order quantities work the same way.
Can it answer halal, nut-free and dairy-free questions correctly?
It answers from your own product list, by product. In the demo it names the dairy-free sorbets and says where a flavour contains milk and tree nuts, because that is in the product descriptions we loaded. If you are not halal certified it says so plainly. When a customer asks something not in your list, it asks you, and your answer is added so the next customer gets it straight away.
What happens when a company asks for corporate gift boxes?
It asks how many boxes, the budget per box, the delivery date and whether they want a logo or a card inside, then quotes from your price list with the sum written out. It collects the delivery address or the list of addresses and sends the brief to you. On Pro it writes the order into your system and takes the deposit in the chat. One gifting brand told us the website was never the problem, closing the sale was.
